An after-hours inspection request.

Roofing / inbound inquiry

CL

I’d like someone to look at the roof on my garage. Can I schedule an inspection?

CS

I’m the company’s AI assistant. I can help with that. What’s the property address, and what would you like the estimator to look at?

CL

24 Example Lane. Some shingles are coming loose. Thursday morning would work for me.

CS

With your contact details confirmed, your inspection is booked for Thursday at 10. The estimator will have the notes about the loose shingles.

Before we get started

The details
that matter.

Clear expectations from the first conversation.

Can you connect to our CRM or calendar?

We verify your system access and the required booking actions before confirming scope. Compatibility depends on the system, account permissions and available integration methods. The launch offer includes one verified CRM/calendar integration; complex custom integrations are quoted separately.

What happens when a call needs a person?

The agent follows the agreed transfer or follow-up path using your designated contacts. We define what should escalate and what to do if nobody is available. Urgent or clinical questions follow your approved rules.

What if the booking system is unavailable?

The workflow uses the agreed fallback: capture the request and notify the responsible team. It should only confirm a booking after the connected system accepts it. System failures and unavailable appointments are part of prelaunch testing.

What do you need from our team?

Approved business information, system access, booking rules and escalation contacts. Your team also reviews the test calls and accepts the launch workflow. We handle configuration, integration, testing and ongoing management.

What does monthly management include?

Daily automated checks, business-day review of exceptions and selected calls, a weekly cycle for warranted and tested improvements, infrastructure maintenance, and monthly reporting. The base scope covers one location, one inbound agent and up to 500 connected calls per month. Sustained higher volume prompts a scope review rather than an automatic cutoff.

What are the costs and commitment?

Implementation is $2,500: half at kickoff and half after acceptance. Management is $1,500 per month from launch, with a 90-day initial live-service term, then monthly with 30 days’ notice. The rate is held for 12 months for unchanged scope. Initial agency fees total $7,000, plus telephony and AI usage billed at cost. See the full offer and scope.
